CANCELLATION POLICY

In case the trip is cancelled by you following trip cancellation fee will be levied.

• No cancellation charges will be applicable if the trip is cancelled 45 days prior to the trip start day.
• 30% of entire trip cost if cancelled 31-45 days prior to the scheduled trip start day.
• 40% of entire trip cost if cancelled 21-30 days  prior to the scheduled trip start day.
• 60% of entire trip cost if cancelled 11-20 days prior to the scheduled trip start day.
• 75% of entire trip cost if cancelled 4-10 days prior to the scheduled trip start day.
• 100% of entire trip cost if cancelled within 3 days prior to the scheduled trip start day.

If you have made advance payment more than the trip cancellation fee, the remaining balance will be refunded from the original payment method within 3 months of trip cancellation. The transfer fee will be deducted from customer for refund of the above mentioned payments if any.

INCOMPLETE TOUR

For any reason like personal health issues, natural disaster and any other unforeseen circumstances, if you are not able to complete the tour/trek after the start of the trip, no refund or discount will be provided.  If you can not continue on your trip due to altitude sickness and need additional time for acclimatization, we will make reasonable efforts to incorporate you in the next group, however no guarantees can be provided. If you wish to reschedule your tour/trek or change the destination, additional charges may apply depending upon the number of days, transportation means, permits for the region and etc. and will be rescheduled according to your need as far as possible.

UNFORESEEN CIRCUMSTANCES

In case of cancellation of your trip due to unforeseen circumstances like natural disasters, war, or poor climatic conditions etc., we will arrange you another trip with mutual understanding.

FORCE MAJEURE

The tours in Nepal, China, and Bhutan are strictly conducted under the rules and regulations of the Tourism Board of the respective nations. We shall not be liable for any breach of our obligations under these Terms where we are hindered or prevented from carrying out our obligations by any cause outside our reasonable control, including by pandemic, lightning, fire, flood, extremely severe weather, strike, lock-out, labour dispute, act of God, war, riot, civil commotion, malicious damage, failure of any telecommunications or computer system, compliance with any law, accident (or by any damage caused by any of such events).

TRAVEL INSURANCE

Travel Insurance package is compulsory for all our clients covering medical expenses, personal accidents, emergency evacuations, trip cancellations, loss of gear, natural disasters, and luggage theft or damage.

FLIGHT DELAY/CANCELLATION

Flight delays or cancellations are mostly common during bad weather conditions in the regions like Annapurna, Everest, Dolpo and etc. TrekBuddy Nepal (Himalayan Adventure Holidays Pvt. Ltd.) is not accountable for any of your additional expenses.

DURING THE TOUR

All our clients are required to abide the law of Nepal and are not allowed to do any unlawful activities during the tour. TrekBuddy Nepal (Himalayan Adventure Holidays Pvt. Ltd.) won’t be at a risk for any discount or refund in such case. Client him/herself will be responsible for any result of the unlawful activities by the client.

GROUP SIZE

The minimum group size for any trip/tour is 2 people. The cost of the trekking packages displayed in this website is for a group size of minimum 2 people and multiple of 2 up to 8 pax. While we may not charge the single supplement, we reserve rights to combine you with another group without any notice to make it multiple of 2. This may result among other things in shared room, guides, and porters. While reasonable efforts will be made to accommodate your request regarding sharing of the facilities, no assurance can be provided that will be able to satisfy your requests.

NOTICES

Unless otherwise stated within these Terms, notices to be given to either party shall be in writing and shall be delivered by email supplied by you to us, or to us at our registered office.

INDEMNITY

You indemnify and hold us and our related entities, affiliates, and our and their respective officers, agents, and employees, harmless from and against any and all claims, demands, proceedings, losses and damages (actual, special and consequential) of every kind and nature, known and unknown, including reasonable legal fees, made by any third party due to or arising out of your breach of these Terms or your breach of any law or the rights of a third party.

When you provide us with your email address or mobile phone number, you may opt in to electronic communications in respect of news, promotions, wishlist reminders, bag reminders and updates on the status of returns and refunds.  We may also communicate with you electronically as set out in the Privacy Policy.  Your consent to receipt of certain communications may be implied from the use of certain functional aspects of our service.

USER GENERATED CONTENT 

From time to time we may reach out to our customers via social media to encourage you to share your own content (“Content”) using specific hashtags (#) alongside your Content.

By responding to our post and using the required hashtag, you acknowledge and agree that:

(a) You comply with the terms and conditions of the platform you are using to create that Content;

(b) You own all rights in respect of your Content and/or have obtained appropriate rights and consents from any other persons featured in your Content;

(c) Your Content and social media handle may be featured across our social media platforms as well as our Site;

(d) We may enhance, adapt, crop or otherwise modify your Content. Any such modifications would only occur to the extent deemed reasonably appropriate by us; and
